5. Accessing AlSuite

5.1       Respond to invitation to join an organization
The first step in getting a user to begin using AlSuite is to send an invitation. The process of sending an invitation is handled by the AlSuite administrator of your organization. Therefore, if you do not have an account as yet, we recommend that you contact the AlSuite administrator of your organization.

At the time of inviting you to AlSuite, the administrator will specify which units you can access and with which access rights. All this procedure is documented in the AlSuite administrator’s manual.

When an invitation is sent to you as an end user, you should be able to receive this in your mailbox. Follow the link and enter the code sent along with the link, in order to accept the invitation and log into your account. You will be requested to provide some initial information including first name, last name, password and current time zone as shown in Fig.1 below.

In the above figure, you notice some fields are red initialed with a star, while others are black. All field highlighted are compulsory.

Note that the above information is only required once, i.e. the first time you create a profile in AlSuite. For subsequent invitations to join other organizations, assuming you already have a profile, this information will not be required.

5.2       Launch the browser
Accessing the AlSuite environment assumes that you already have an account. In order to access the browser, go to the link http://app.alsuite.com. You will be presented with the interface show in Fig. 2 below:

To the left is a News Board that is used for posting up to date information around updates, new features and fixes in the AlSuite environment.

To the right is the sign in section, where you can access the system with the email address that was used for inviting you to AlSuite and your secret password. 

If you have forgotten your password, click on the bottom right link “Forgot Password” to request for a password reset.

5.3       Select the unit of choice upon login
After providing the email/username and your secret password, the system will authenticate you and redirect you to a page where you will be able to select the organization you would like to use from a list of organizations to which you have access – see Fig. 3 below. Please note that you will only be able to see the organization to which you have been invited and in which your account is still valid.

For ease of use, the AlSuite application enables the linkage of more than one organization to a given email address. In Figure 5 above, the user has access to 12 organizations, the first being “Afya ni mali” and last on the list being “SionaPros Old”. 

Upon clicking on the organization of choice, you will be redirected to a default dashboard, which is ideally your dashboard – see next section.

5.4       Select a unit of choice after login
In order to select an operations unit of choice, from “Navi Bar 1” click on the button “Operations”. You will be presented with a list of operations units to which you have been granted access, as shown in Figure 8 below. '>1.1

In the case of the above Figure, the user has access to six units, i.e. Accounts, Approvals, Domestic Violence, M&E Unit, OFC and SysAdmin. By clicking on any of the unit, you will be directed it’s default dashboard as shown in Figure 9 below, in the case of the default dashboard of an operations unit “Domestic Violence” in this example.

Note that the default dashboard depends on the unit type. In Fig. 9 above, we are looking at the default dashboard of an operations unit. Other unit types include Accounts, Data sets, Approvals, Sys Admin and Reporting.
